Linking an existing guardian to an applicant profile

This guide explains how to link an existing guardian to an applicant in Arbor when the guardian already has a profile. It covers accessing the applicant's profile, adding the guardian in the Family section, setting relationship details, and confirming the link. Permissions required include Admissions and Guardians administration. 

Permissions

• Admissions: Administer All Students: Lets you access the Applicants page 
• Guardians: Administer All Students: Lets you add contacts/guardians to a student profile

If you don't have the relevant permission, ask your admin team to give you permission using these instructions.

When to use this guide

Use this guide when:

• You added an applicant manually or via the import spreadsheet and skipped the guardian step
• The applicant is a sibling of a current student and their parent/guardian already has a profile in Arbor
• You want to link a second guardian to an applicant who already has one guardian linked

Step 1: Go to the applicant's profile

There are two ways to do this:

• Go to Students > All Students > Applicants. Select the intake season, then click Applicants from the left-hand menu. Click the applicant's name in the table and then click their name again on the slide-over to open their profile.

• Type the student's name into the Global Search and hit Enter or click View All Results. On the search results page, click on the student's name to open their profile.
  
  

Step 2: Add the guardian's basic details

Scroll down to the Family, Guardians, and Contacts section on the applicant's profile. Click +Add.

On the slide-over, add the guardian's details. At a minimum, to match them to an existing guardian in the next step, add the following:

1. Their Name
2. Their Relationship to the student
3. A Postal Address (or mark the address field as not collected)

Then click Add Guardian

Step 3: Match the details to the existing guardian

You will now see any existing guardians who match the details you entered. Find the intended guardian and click Yes, Add This Guardian to link the guardian and student.
