This article explains how to pin various items to a student's profile for safeguarding and alerts, detailing the types of items that can be pinned, the permissions required for viewing and adding these items, and how to manage pinned items effectively. It covers academic notes, planned absences, behavioral notes, pastoral notes, safeguarding notes, medical conditions, and more.
How do pinned items work?
On the student profile
You can pin many items to the top of the student's profile. You can see a full list of the 'pinnable' items below, plus how to add them.
Top Tips:
- There is no limit to the number of pinned items you can have!
- It won't become a scrollable box - all pinned items will show.
- Pinned items are ordered with the most recent one to be pinned at the top. To re-order you would unpin, then re-pin.
On My Homepage
New items that are 'pinned' will show up as an Alert on the homepage for any staff that are linked to the student, and have the permissions to view the pinned item.
Top Tip: We've included the permissions needed in each section below. If someone can't access this area or aren't getting an Alert, you can give them the right permission using these instructions.
On Lesson Dashboards
You can choose whether to display Pinned notes in the Students table on your lesson dashboard: Choose which contextual data appears on lesson dashboards
The Pinned notes column will display pastoral notes, behaviour notes, SEN notes and safeguarding notes that have been pinned to the top of the student profile. We do not display Child protection notes or any other kind of pinnable note here.
Unpin a pinned item
Go to the student's profile and click on the pinned item. Click Edit.
Do not click Delete as that will delete the item itself. Untick the Pin box and click Save Changes.
What can be pinned and how to pin them
Academic Notes
The Academic Notes section lets you record academic information and documents which are linkedwith a particular course.
You need the School: Academic Structure: Administer permission to view and add academic notes, and to get an Alert when a note is pinned for one of your linked students.
To create new academic notes, click +Add.
Input the required information including the relating course if applicable, a summary and the note. Click on Add Note button to save.
The note will then display. If you chose to pin it to the profile, it will be pinned to the top of the student's profile.
Planned Absences
The Attendance > Dashboard section allows you to record a planned absence and pin this to the student profile until the absence has passed.
You need one of the Student: Attendance: View permissions to view planned absences and to get an Alert when an absence is pinned for one of your linked students. You'll need one of the Student: Attendance: Administer permissions to add planned absences.
The absence will then display. If you chose to pin it to the profile, it will be pinned to the top of the student's profile.
Behavioural Notes
The Behaviour > Behavioural Notes tab section allows you to record a note and pin this to the student profile.
You need one of the Student: Behaviour: Administer permissions to get an Alert when a behavioural note is pinned for one of your linked students and to add notes.
Once you have created a note, you can click on it in the Behavioural Notes section to add any attachments! Just drag and drop any files you need into the Attachments section of the slide over.
Pastoral Notes
Add a note and pin it to the top of a student’s Student Profile and the Lesson Dashboard from the Communications & Notes section.
You need one of the Student: Pastoral Notes: View permissions to view pastoral notes and to get an Alert when a pastoral note is pinned for one of your linked students. You'll need one of the Student: Pastoral Notes: Administer permissions to add pastoral notes.
Add details and add any documents, then click Add note. The note will then display. If you chose to pin it to the profile, it will be pinned to the top of the student's profile.
Safeguarding Notes
Add a Safeguarding Note and pin it to the top of a student’s Student Profile and the Lesson Dashboard from the Safeguarding Notes section.
- You need one of the Student: Safeguarding: View permissions to view safeguarding notes and to get an Alert when a safeguarding note is pinned for one of your linked students.
- You'll need the Safeguarding: Add Safeguarding Note permission to add safeguarding notes.
- You'll need the Safeguarding: Administer My/All Students permission to be able to delete a safeguarding note.
Child Protection Notes
The Child Protection section allows you to record a note and pin this to the student profile.
You need one of the Student: Child protection status and notes: View permissions to get an Alert when a child protection note is pinned for one of your linked students. You'll need one of the Student: Child protection status and notes: Administer permissions to add child protection notes.
Medical Conditions and Dietary Requirements
The Meals section allows you to record a dietary requirement and medical condition and pin this to the student profile.
- You need one of the Student: Meals: View permissions to view dietary requirements and to get an Alert when a dietary requirement is pinned for one of your linked students. You'll need one of the Student: Meals: Administer permissions to add dietary requirements.
- You need one of the Student: Medical: View permissions to view medical conditions and plans and to get an Alert when a medical condition or plan is pinned for one of your linked students. You'll need either one of the Student: Admin: Administer permissions or one of the Student: Medical: Administer permissions to add medical conditions.
The dietary requirement will then display. If you chose to pin it to the profile, it will be pinned to the top of the student's profile.
Medical Notes
The Medical section allows you to record a medical note and pin this to the student profile.
- You need one of the Student: Medical: View permissions to view medical notes and to get an Alert when a medical note is pinned for one of your linked students.
- You'll need either one of the Student: Admin: Administer permissions or one of the Student: Medical: Administer permissions to add medical notes.
The dietary requirement will then display. If you chose to pin it to the profile, it will be pinned to the top of the student's profile.
Educational needs - SEN notes or Personal education plan
You can pin an Individual Education Plan or an SEN note from the Educational Needs section.
You need one of the Student: Special Educational Needs: View permissions (also called Student: SEN: View) to view SEN and to get an Alert when an Individual Education Plan or an SEN note is pinned for one of your linked students. You'll need one of the Student: Special Educational Needs: Administer permissions (also called Student: SEN: Administer) to add an Individual Education Plan or an SEN note.
To add a new note, click +Add and enter the date, summary and note content. Attachments may be uploaded through the slide-over.
The note will then display. If you chose to pin it to the profile, it will be pinned to the top of the student's profile.
Court orders
Click +Add to add a court order from the Legal section of the main student profile. You can see more information about this here: Court Orders and stopping guardians from logging in
You need one of the Student: Legal: View permissions to view court orders and to get an Alert when a court order is pinned for one of your linked students. You'll need one of the Student: Legal: Administer permissions to add a court order.
Looked After (In Care) note
Click +Add to add a note from the Looked After (In Care) section of the main student profile. Top Tip: the Looked After (In Care) page in the left-hand menu will only show if the student has previously been added as Looked After. If you need to add a status, add it from the main profile page.
You need either one of the Student: In Care: View permissions or one of the Student: Child protection status and Notes: View permissions to view Looked after (in care) details and to get an Alert when a Looked after (in care) note is pinned for one of your linked students. You'll need either one of the Student: In Care: Administer permissions or one of the Student: Child protection status and Notes: Administer permissions to add Looked after (in care) notes.
Student funding
Click +Add to add a note from the Student Funding section of the main student profile.
You need one of the Student: Admin: Administer permissions to view and add student funding details and to get an Alert when student funding is pinned for one of your linked students.
