Copying Behaviour over to this next year

When the new school year begins, you’ll need to set up certain areas of behaviour.

If this isn't set up, you won't be able to add students to a detention or add students to an internal exclusion.

Top Tips:

  • To complete these steps, you must first have completed the New School Year Setup process so you're able to select the next academic year.
  • If your school is new to Arbor and haven't set anything up yet, you won't be able to follow the instructions below. Instead you can see how to set up this area here: Getting started with Behaviour

Permissions

You'll need either the Behaviour: Behaviour Policy or School: Action: Behaviour: Administer permissions to set up detentions and/or internal exclusions.

  • Student Profile: Detention: Administer all students - Manage all detentions from the School > Behaviour > Detentions page.
  • School:Behaviour: Log behaviour incident - Log an incident, which may lead to a detention being assigned

If you don't have the permission, you'll need to ask your admin team to give you permission using these instructions.

 

What do we need to copy over?

These behaviour areas exist within a certain academic year, so need to be set up each year. We'll go through setting these up below.

  • Detention types and sessions
  • Internal Exclusion types and sessions

Please note that there isn't a way to copy these over in bulk. They must be manually scheduled, but it doesn't take too long!

Don't worry, you won't need to set everything up. Everything else doesn't need to be copied over as they exist across academic years. You can continue using them no matter the date.

  • Behaviour types used to log what behaviour occurred during a Behaviour incident
  • Behaviour point award scales and the reasons/attributes you have set up
  • Your settings in your default or custom behaviour workflows
  • Additional behaviour events or locations you've set up
  • Physical Intervention Methods
  • Internal Exclusion reasons
  • Policy settings

Detentions

First, check your setup from last year - you may wish to set up something similar for this year, or change your policies. Go to Students > Behaviour > Setup, and select the Detentions tab.

Change the academic year to last year, then click Apply. You can then see the detention types set up, and click into them for more information on the schedule.

Now, change the academic year to the next year and click Apply. This is where you set up your detention sessions by clicking +Add.

In the slide over, make sure the right academic year is selected, and add the name for the detention type. Then click Add detention type.

You'll then be taken back to the Detentions tab - you may need to change the academic year again to see the detention types. Click on the detention type you've just added.

You'll be taken to the Detention Overview, where there is an Overview tab and a Timetable tab. Click on the Timetable tab and then the green +Add button to schedule detention sessions.

You can schedule one-off or regular sessions - click on the option you want to create.

This will take you to a slide over where you are able to enter all the details about the detention session you are setting up.

You aren't able to set multiple locations for detentions, but you can add more than one staff member. You can see further details about managing staff here: Staff in detentions

The scheduled slots will then display here, in the Students > Behaviour > Detentions area, and in the staff member's calendars.

School staff will then be able to assign detentions, or have them automatically given as part of Behaviour workflows.

Internal Exclusions

First, check your setup from last year - you may wish to set up something similar for this year, or change your policies. Go to Students > Behaviour > Setup, and select the Internal Exclusions tab.

Change the academic year to last year, then click Apply. You can then see the internal exclusion types set up, and click into them for more information on the schedule.

Now, change the academic year to the next year and click Apply. This is where you set up your internal exclusion sessions by clicking +Add.

You'll be taken to the Timetable tab on the Internal Exclusion Overview. Click the green +Add button to schedule internal exclusion sessions.
