How do I make a certification claim for Pearson Tech Awards through Arbor?

To make a certification claim through Arbor for Pearson Tech awards:

  1. Set up awards for the right cash-in codes. This is done by adding them: Setting up BTECs
  2. Enter candidates for the right cash-in codes. This is done by making entries to the awards in the usual way: Enter candidates into EDI qualifications
  3. Submit the EDI file to Pearson: Generating EDI Entry files
  4. They will then release a result file to you.

Will students be automatically withdrawn and re-entered if changing courses?

In Arbor, transferring between courses or moving students between courses is not linked to exams.

Once you have moved the student between courses, you will need to:

  1. If you made the entries through Arbor, make sure the original entry file was already submitted. If your entries were migrated to Arbor, make sure any entries files have been submitted and marked as confirmed. This will ensure that changes produce an amendments file.
  2. Withdraw the student from the old entry - see how to do this here: Withdrawing Candidates from EDI Qualifications
  3. Enter the student into the new tier - see how to do this here: Making entries in Arbor

This will then generate an amendment file, for you to send to the awarding organisation. You can see how to do this here.

How do I show only resits and not old grades on statements of exam results?

When a student retakes a qualification, on statements of exam results:

  • both their original grade and their resit grade may show
  • only the original grade may show instead of the resit grade

You'll likely want only the resit grade to show.

To do this, you'll need to amend the start date of the Statement of Results to exclude unwanted results.

Please note: This start date looks at the date the grades were input rather than the date of the series.

How do we get Exam Results into our Assessment Analysis?

In Arbor, the Examinations and Assessments areas work very differently. There isn't a way to match the exam Qualification to an assessment in the Annual Policy.

Because of this, exam results you've added won't automatically populate into your assessment marksheets or analysis pages.

If you want to use the assessment analysis pages with your Summer results, you'll need to copy them into your assessments. You can follow these instructions to either:

  • copy and paste the results from the results table in exams into the marksheet
  • import the results using our spreadsheet template

How do I generate an Internal Assessment marksheet (MS1)?

OCR may require you to produce and send them a completed MS1 form to be moderated. This is a list of the pupils entered for a controlled assessment e.g coursework.

  • You can produce and download this from the OCR online portal if you've submitted marks through there.
  • If you've entered marks in Arbor, you can also go to Students > Examinations > Coursework > Overview and select the exam.

You can then download this page in any format you need using the Download button.

How do I change times or dates for an assessable?

To change the times or dates for an assessable, follow these steps:

  1. Go to Students > Examinations > Qualifications > EDI
  2. Select the Qualification
  3. Click on the Learning Unit.
  4. Click on Exam and Assessables
  5. Then the assessable you wish to amend.
  6. Select Date and Time
  7. Add the new information
  8. Click Save Changes.

Does Arbor mark a room as unavailable if an exam is assigned to it?

No, Arbor does not automatically mark the room as unavailable if an exam has been assigned to it. To make sure that there are no clashes, you will need to manually mark the room as unavailable and then move any classes into a new room. To do this, follow these instructions.

Can we use preferred names with our exam entries and seating plans?

No, you cannot use students' Preferred Names for exam seating plans, it has to be their Legal Name.

This is because both exam entries and seating plans are part of the administration documentation sent to the exams board, so the Legal name is required. The Legal Name will also be used on the exam certificates.

If this is inspected by one of the exam boards, they could state this is maladministration, as the Legal name has not been submitted with the documentation for the exam.

How do I make a tier change for Higher and Foundation exams?

Please note: You should not generate EDI amendment files between doing the withdrawals from the candidate's old tier and their entry into the new tier as this can result in awarding organisations applying late fees for withdrawals and entries.

You should instead make the withdrawals and add the new tier entries first, and then generate an amendment file.

You may need to move students from the Foundation to the Higher tier of an award, or vice versa, for example for Maths. You'll need to:

  1. If you made the entries through Arbor, make sure the original entry file was already submitted. If your entries were migrated to Arbor, make sure any entries files have been submitted and marked as confirmed. This will ensure that changes produce an amendments file.
  2. Withdraw the student from the old entry - see how to do this here: Withdrawing Candidates from EDI Qualifications
  3. Enter the student into the new tier - see how to do this here: Making entries in Arbor

This will then generate an amendment file, for you to send to the awarding organisation. You can see how to do this here.

Can I choose a different candidate number based on the year of entry?

When assigning candidate numbers, you can choose the Next available number (the number to start numbering from).

Go to Students > Examinations and select Candidates > Internal Candidates from the left-hand menu. Select students then click the Bulk Action button to select Assign Candidate Numbers.

Why is the Date or time missing / why is TBC displaying on timetables?

Timetables will show TBC for the date and time until the exam has been allocated to a room and the student has been allocated to a seat.

If the students have been given a seat and room, the most likely reason is that the Awarding Organisation has not included this information in the basedata.

We regularly scrape the latest basedata to ensure we have the latest information, so you'll need to wait until the information becomes available.

Can we import JCQ XML results files?

It is a requirement for awarding organisations (such as AQA, OCR, Pearson and WJEC but not CCEA) to issue XML files alongside the EDI Results files for linear qualifications such as GCSEs, AS and A Levels.

We recommend choosing one to import, otherwise the results will show twice on Statements of Results.

Why isn't my Qualification appearing on the Results > Manual Entry page?

In this case,  it is most likely that you haven’t subscribed or created this qualification via your qualification catalogue. Add this qualification by going to Qualifications > Qualification Offering.

Why can't I see my student to add results for in Manual Results? 

If you can’t find a student to add, it is likely that they don’t have a UCI and candidate number assigned to them. Register students as candidates, with candidate numbers and UCIs, using the Candidates section. Once you have added candidates, you can then assign results to each one.

Can we import exam results using a CTF?

No, it is not possible to import prior attainment data into the Arbor Exams area through a CTF. This is because exam results are not included in the DfE's CTF specification.
